Define the assessment question

An owner reviewing an existing report, a manager organising a rental appointment and a buyer seeking professional advice may need different information. Explain the purpose and who will use the result. Do not assume that every booking described as an inspection has the same scope.

Send relevant documents already held, including previous findings and records of subsequent work. A report with a limitation should remain available in its original form. Do not remove a qualification from a summary because it makes the file harder to read.

Understand limitations and follow-up

Ask how inaccessible areas or unavailable equipment will be recorded. If the provider recommends further work, clarify whether it is included, separately quoted or awaiting another decision. An attendance record should not be treated as evidence that every part of a property has been assessed.

Keep the completed report with the appointment and approval records. Ask the professional to explain any finding you do not understand. Do not assign a safety status from a general web guide or mark a recommendation completed before the actual outcome is documented.
